Terms of Service

The agreement between your clinic and Veltrano Tech Ltd for the use of Medicypher.

1. Who this is between

These terms are between Veltrano Tech Ltd ("we") and the clinic whose account is created ("you"). The person creating the account confirms they are authorised to accept them on the clinic's behalf.

2. What the service is

Medicypher is administrative software for a clinic: appointments, patient records, treatment planning, billing, and related tools.

It is not a medical device and it does not practise medicine. Nothing it produces — including any AI-assisted draft — is a diagnosis, a clinical recommendation, or a substitute for a clinician's judgement. Every clinical decision, and every record entered, remains the responsibility of the treating clinician.

3. Your account and your data

You are responsible for the accounts you create, for who you give access to, and for keeping credentials secure. Tell us promptly if you believe an account has been compromised.

Your data stays yours. We claim no ownership of the records you enter. You can export them at any time while your account is open, and we will not withhold them to secure payment.

You are the data controller for your patients' records and we are your processor. You are responsible for having a lawful basis for what you enter and for giving your patients the notices your law requires. The software provides the tools; it cannot make that judgement for you.

4. Trial, fees and payment

Every plan begins with a free trial. No card is required to start one, and it does not convert into a paid plan on its own.

Paid plans are billed in advance for the period chosen. Fees are stated exclusive of any tax that applies where you are. Where a plan sets a limit and you exceed it, the published overage rate applies; we tell you before you reach a limit.

If payment is not made, we may suspend access after telling you. Suspension does not delete your data.

5. Acceptable use

Do not use the service unlawfully, do not attempt to reach another clinic's data, do not probe or interfere with the service's security, and do not resell access without our agreement.

Do not enter personal data you have no lawful basis to hold.

6. Availability

We work to keep the service available and to keep your data safe, but we do not guarantee uninterrupted service. Maintenance, provider outages and events beyond our control all happen.

Because clinical care must not depend on a single system being reachable, keep whatever offline arrangements your practice needs.

7. Liability

Nothing here limits liability that cannot lawfully be limited, including for death or personal injury caused by negligence, or for fraud.

Subject to that, neither party is liable for indirect or consequential loss, and our total liability in any twelve-month period is limited to the fees you paid us in that period.

We are not liable for clinical decisions, for the accuracy of records you enter, or for your compliance with the rules governing your practice.

8. Ending the agreement

You can close your account at any time. We can end the agreement if you materially breach these terms and do not put it right within 30 days of being told, or immediately where the breach is unlawful use.

After termination, your data stays available for export for 30 days and is then deleted, except what we must keep by law.

9. Changes and governing law

We may change these terms; we will tell account holders by email before a material change takes effect, and continuing to use the service after that is acceptance.

These terms are governed by the law of England and Wales, and its courts have exclusive jurisdiction. This does not remove any protection you have under the mandatory law of the country you are established in.
